Privacy policy

How Quantira ("Quantira," "we," "I") handles the personal information you share. This is a working draft to be reviewed for your jurisdiction (Ontario, Canada; the federal Personal Information Protection and Electronic Documents Act ("PIPEDA"); and any other applicable law, including Quebec's Law 25 where it applies to you) before launch.

Who this applies to

This policy covers personal information collected through quantira.net and in the course of the coaching practice. It works alongside the Coaching Agreement and the Terms of Service.

What we collect

  • What you give us: your name, email, phone (if provided), city/country and time zone, and anything you write when you request a fit call, submit the intake questionnaire, contact us, or work with us.
  • Session details: notes needed to do the work and manage your bookings.
  • Payment information: your card details are collected and processed directly by our payment provider (Stripe). Quantira does not receive or store full card numbers; we keep records of what you paid, for what, and when.
  • Communications: emails and messages you exchange with us.
  • Technical & analytics data: basic server logs (such as IP address and browser type) needed to run and secure the site, and — if analytics are enabled — aggregate, non-identifying usage data (e.g. pages visited). No advertising trackers.

How we use it, and our legal basis

  • To respond to you, schedule and deliver sessions, and take payment.
  • To send service messages (confirmations, reminders, follow-ups) and, only if you opt in, occasional updates you can unsubscribe from at any time.
  • To keep the records required to run the practice and to meet tax, accounting, and legal obligations.
  • To secure the site and prevent abuse.

We rely on your consent, and on the reasonable purposes for which the information was provided, as our basis for collecting and using it under PIPEDA. You can withdraw consent at any time (see Your choices), subject to records we are legally required to keep. We do not sell or rent your information.

Who we share it with

We don't share your information except with the service providers needed to operate the practice, and only as needed for them to perform their function on our behalf:

  • Payments: Stripe.
  • Scheduling, video calls, and calendar: Google (Google Calendar / Google Meet / Workspace).
  • Email delivery: Mailgun.
  • Website hosting and, if enabled, bot/abuse protection and analytics.

We may also disclose information where required by law, to establish or defend a legal claim, or where reasonably necessary to prevent a serious risk of harm to you or others. If the practice is ever transferred to a new owner, client records may transfer with it under the same commitments.

Storage outside Canada

Some of these providers store or process information outside Canada, including in the United States. That means your information may be subject to the laws of, and lawfully accessible to authorities in, those countries. By using the site and the practice, you acknowledge this cross-border handling. We use reputable providers that offer contractual and technical protections comparable to those required here.

Confidentiality

What you share in the course of the work is treated as private and held in confidence. Note that Quantira is not a licensed clinical service, so the specific legal privileges that attach to therapy or medical care do not apply here — but discretion is fundamental to how the practice operates.

How long we keep it

We keep personal information only as long as needed for the purposes above and to meet legal, tax, and accounting requirements, after which it is deleted or anonymized. Payment and invoice records are retained for the period required by Canadian tax law. If you ask us to delete your information, we honour the request except for records we are required to keep.

Storage & security

Information is stored using reputable third-party tools with reasonable administrative, technical, and physical safeguards. Access is limited to what's needed to run the practice. No method of storage or transmission is perfectly secure. If a breach affecting your information creates a real risk of significant harm, we will notify you and the applicable authorities as required by law.

Your choices

Subject to records we're required to keep, you can:

  • ask what personal information we hold about you and how it's used;
  • request corrections to inaccurate information;
  • ask us to delete your information;
  • withdraw consent to non-essential uses (for example, marketing email) at any time.

Email hello@quantira.net and we'll respond within a reasonable time. If you're not satisfied with how we've handled a privacy concern, you may contact the Office of the Privacy Commissioner of Canada (and, in Quebec, the Commission d'accès à l'information).

Children

Quantira's services are for adults 18 and older. We don't knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact us and we'll delete it.

Cookies

This site uses only what's needed to function and, if enabled, privacy-respecting analytics. Non-essential cookies (such as analytics) are used only with your consent, and you'll be asked before they're set.

Changes

We may update this policy; material changes will be posted here, and the "last updated" date below will change.
